How to share recordings with external customers in Demodesk
Share Demodesk call recordings with customers, partners, or prospects in seconds. Step-by-step guide to public sharing links and download access.
What and why
Demodesk lets you share any call recording with people outside your company. Switch the recording's access from locked to public, copy the link, send it. External recipients can watch in their browser and download the video file — no Demodesk account required.
Sales handovers, customer demos, technical walkthroughs, and stakeholder alignment all happen after the call. One link replaces the screen-recording re-run, the emailed attachment, and the follow-up meeting.
Who this is for
Account executives, customer success managers, and solutions engineers who need to send a recorded demo, walkthrough, or discovery call to a prospect, customer, or internal stakeholder outside the Demodesk workspace.
Prerequisites
- A Coaching & AI seat (needed to record and manage sharing settings)
- A recorded meeting available in your Meeting Hub
- Consent from all participants to share the recording externally (check your regional consent rules before sharing outside the EU)
- A way to send the link — email, Slack, CRM, any channel works
Steps
1. Open the recording
Go to Meeting Hub in the top navigation and select the meeting. The recording detail page shows the video player, transcript, AI summary, and the sharing panel on the right.
2. Switch access from locked to public
In the sharing panel, toggle access from locked (default) to public.
- Locked— only teammates with the right permissions can view it.
- Public— anyone with the link can watch and download, inside or outside your company.
The shareable link generates automatically once you toggle to public.
3. Copy the link
Click Copy link next to the public access toggle. Paste it into your follow-up email, Slack message, or CRM activity note. No password, no account creation on their end.
4. Tell your recipient they can download the file
External viewers can watch in the browser or save a local copy. To download, they open the three-dot menu (⋯) on the recording page and click Download. The MP4 saves to their device.
If you're sending to a customer who wants a copy for their own records or to share internally, mention this in your email.
5. Revoke access when you're done
Go back to the sharing panel and switch access to locked. The public link stops working immediately. Anyone who already downloaded the MP4 keeps their local copy — public sharing is not a security control. Only share recordings you're comfortable existing outside your workspace.
Tips
- Set a retention policy first. Recording retention is configurable per workspace (12 hours up to 1 year). Bookmark recordings you plan to share externally so they aren't deleted before the customer watches them.
- Redact before you share sensitive calls. If a recording contains internal pricing discussions, competitive intel, or confidential customer data, trim or reshoot before making it public.
- Use the AI summary in your email. Paste the AI-generated summary above the link. Busy stakeholders get the gist in 30 seconds and skip to the parts they need.
- Track who's viewed it.
- Default to locked. Keep the workspace default as locked so recordings never leak accidentally. Flip to public deal-by-deal.
