Connect any custom or in-house CRM to Demodesk with an API key and plain-English instructions. Tell the AI CRM Concierge which fields to sync and when. No pre-built integration, no field-mapping spreadsheet. The AI reads your CRM's schema and builds the sync logic from your description. For teams not on Salesforce, HubSpot, or Pipedrive, this is the fastest path to AI-driven CRM updates after every call.

Prerequisites
- A Demodesk account on the Coaching & AI or Enterprise plan
- Admin access to your custom CRM (to generate an API key or token)
- Your CRM's API documentation (endpoints, authentication method, object schema)
- A Demodesk API key if you're using the low-code AI-generated approach
- At least one recorded meeting in Demodesk to test the sync against
Steps
1. Generate an API key in your custom CRM
Log into your custom CRM and generate an API key or personal access token with read and write permissions for the objects you want Demodesk to update — typically deals, contacts, and activities. Copy the key and note the base URL of your CRM's API.
2. Add the API key to Demodesk
Open Demodesk and navigate to Agents > Automations > AI CRM Concierge > Connections. Paste your custom CRM's API key and base URL. Save the connection. The AI CRM Concierge now has authenticated access to read and write to your CRM.
3. Describe your sync rules in plain English
Open the AI CRM Concierge configuration and use the conversational prompt field to describe what should happen after each call. Examples:
- “After each call, fill in the next steps field, the pain point field, and the decision-maker field on the matching deal.”
- “When a champion is mentioned by name, add them as a contact on the deal and set their role.”
- “If MEDDIC criteria are discussed, update the corresponding fields on the opportunity.”
The AI CRM Concierge parses your instructions, maps them to your CRM's schema, and previews the field mapping before anything syncs.
4. (Optional) Use the low-code AI-generated connection
If your CRM's API is complex or non-standard, use the AI Agent Builder inside AI Crew. Open Home > AI Crew > “Add to your Crew” and provide two inputs:
- Your custom CRM's API documentation (URL or pasted spec)
- Your Demodesk API key
Describe what you need — for example, “After every Demodesk meeting, pull the transcript, extract the deal stage and next steps, and POST them to the /deals/{id} endpoint on my CRM.” The AI Agent Builder writes the integration logic, tests it against a sample meeting, and deploys it as an agent in your AI Crew.
5. Test the connection with a real recording
Run the sync against a recent meeting. Open the meeting in Demodesk, trigger the AI CRM Concierge, and review the suggested field updates before pushing to your CRM. Every update is human-in-the-loop by default — the rep sees the preview, edits if needed via AI chat, and approves the push. Custom CRMs work the same way as Salesforce or HubSpot here.
6. Refine the prompt based on the first few runs
After 3–5 real calls, review which fields the AI filled correctly and which it missed. Update your instructions to be more specific — for example, “Only update the pain point field if the prospect explicitly names a business problem, not a feature request.” The AI adapts to your methodology and vocabulary over time.
Tips
- Start with 3–5 fields, not 30. Adoption breaks when the AI is asked to fill too much at once. Prove the sync on next steps, pain, and stakeholders first, then expand.
- Use your team's vocabulary in the prompt.If your reps say “the champion” instead of “primary contact,” write your instructions that way. The AI matches your language to your CRM fields.
- Keep human-in-the-loop on for the first month. Every update is previewed and approved by the rep. Move to more autonomous behavior once you trust the field mapping.
- Add custom vocabulary for brand names.If your product names or industry terms don't transcribe correctly, add them under AI Settings (up to 120 characters). This improves accuracy before anything reaches your CRM.
- Document your API key rotation cadence. Custom CRM keys expire. Set a calendar reminder to rotate the Demodesk-side key on the same schedule your security team enforces internally.
