How to configure AI CRM Concierge to auto-sync meeting summaries to Salesforce tasks

Step-by-step guide to auto-sync Demodesk meeting summaries into Salesforce task objects using AI CRM Concierge — including conditional rules and approval settings.

What and why

This guide shows you how to set up AI CRM Concierge so every meeting summary lands in Salesforce as a structured task — no copy-paste, no manual review. The result: a clean CRM after every call, zero rep effort, and a Salesforce activity record that reflects what was said.

Who this is for

Sales reps, RevOps, and managers using Demodesk with a connected Salesforce instance who want post-call notes, next steps, and call outcomes captured in the Salesforce task object automatically.

Prerequisites

  • A Demodesk Coaching & AI seat with admin access to CRM settings
  • Salesforce connected as your CRM integration in Demodesk
  • At least one recorded meeting in Demodesk to test against
  • Permission in Salesforce to create and update task objects
  • A decision on which fields to populate (at minimum: Subject, Due Date, Description)

Steps

  1. Open CRM settings in Demodesk. Go to your Demodesk workspace and navigate to the AI CRM Concierge configuration under CRM settings. This is where you tell the AI which Salesforce objects to write to and under which conditions.
  2. Review the conditional sync rules.Before configuring task fields, scroll through the rule conditions at the top of the Salesforce CRM settings. These tell the AI when to act. Typical conditions: is the meeting external or internal, who is the host, what meeting type. Confirm the conditions match the meetings you want auto-synced — in most cases, external customer meetings only.
  3. Configure the task object fields. In the list of Salesforce objects (Account, Contact, Opportunity, Task), open the Task object. Set the permission to Create and Update. Map the fields you want populated:
    • Subject— short title pulled from the meeting
    • Due Date— the next-step date the AI extracts from the call
    • Description— carries the meeting summary, next steps, and call outcome
    The Description field is where most teams put the bulk of the AI-generated summary.
  4. Run a test meeting and review the suggestion panel.After your next call, AI CRM Concierge generates a panel of suggestions. You'll see the Activity, Task, and any other configured objects with proposed values. Scroll through the task suggestion and check the description, call result, and next steps. This is your accept/reject moment.
  5. Accept the first few suggestions manually. For two or three meetings, click Accept on the task suggestion. This pushes the record into Salesforce and lets you verify the task appears under the right account, contact, and opportunity with the correct fields populated.
  6. Enable automatic sync.Once you're confident the AI is picking the right fields and writing the right content, return to AI CRM Concierge settings and scroll to the bottom. Toggle on Automatic sync — do not require manual approval. From this point, every meeting syncs to Salesforce as a task with no Accept click required.
  7. Spot-check weekly for the first month. Even with auto-sync on, open Salesforce once a week and review the tasks created. If the description quality drops or the wrong field gets populated, refine your conditional rules or field mappings.

Tips

  • Don't enable auto-sync on day one.Run 2–3 meetings in manual mode first. You'll catch field mapping issues before they become 50 messy Salesforce tasks.
  • Filter out internal meetings with conditional rules. Nobody needs a Salesforce task for a team standup. Set the rule to external meetings only.
  • Keep Subject tight, Description broad.Subject becomes the task name in Salesforce list views — keep it scannable. Push the detail into Description.
  • Pair task sync with Opportunity field updates. AI CRM Concierge can fill MEDDIC, BANT, or custom opportunity fields at the same time. A task captures what was said; opportunity fields capture what it means for the deal.
  • Check your recording rate alongside CRM sync rate.If reps aren't recording, the AI has nothing to sync. Benchmark is 70–80% recording rate.
